Service Coordinator Position Agreement

JOB TITLE: Service Coordinator
REPORTS TO (Job Title): General Manager


Manages all Service Departments Schedules. Develops and oversees the Annual Maintenance Programs and customer service opportunities, ensuring the highest level of customer service. Supports the management and mission of the company.


  1. Revenue Generated Per Hour.
  2. First Time Completes.
  3. Replacement lead turn-over as a % of total calls
  4. Service Agreement renewals.
  5. New Service Agreement sales.


  1. Manages the Service Department staff by allocating work, orientating and training, setting performance expectations, evaluating performance outcomes, rewarding and recognizing excellent work, and recommending wage changes, promotions, or transfers. Communicates regularly with staff members through individual and group meetings. (30%)
  2. Optimizes the resources of the company by managing workflow, ensuring service staff has the tools they need, training service staff on sales techniques and software, and the like. (25%)
  3. Develops and oversees the Annual Maintenance Program and customer service opportunities, including such things as phone calls, mailings, data entry, customer service, and schedule. Oversees the processing of all service paperwork to ensure quality control and assurance, accurate costing, and clear/concise job photos and diagrams. Attempts to close sales. Tracks data and reports it to the Owner/GM. (25%)
  4. Manages customer service calls/warranty claims, ensuring the highest level of customer service. (20%)
  5. Regular and punctual attendance. Ability to legally drive a motor vehicle.


  1. Performs other related duties as requested or assigned by management.
  2. Cross trains in other departments for back-up support.

DIRECT REPORTS: Service Technicians


  1. Knowledge of customer service principles and practices.
  2. Knowledge of HVAC related systems and components.
  3. Knowledge of HVAC systems and Home Performance solutions.
  4. Skill in operating personal computers and programs such as spreadsheets, databases, word processing, and sales software.
  5. Skill in verbal and written communication.
  6. Ability to motivate, guide, and direct others to produce expected outcomes.
  7. Ability to handle a variety of tasks.

  1. High school diploma, a college degree preferred;
  2. One (1) year experience in customer service, construction, and management preferred; or,
  3. An equivalent combination of education and experience to illustrate a proven track record in the business field.

Medium Work: Exerting up to 50 pounds of force occasionally and/or a negligible amount of force frequently or constantly to move objects. The job involves sitting most of the time. Jobs are sedentary if standing and/or walking are required only occasionally.

Appearance & Dress:

  1. Well Groomed.
  2. Hair cut neatly,
  3. No facial hair is preferable, however, if facial hair is a must it should be well-groomed at all times.
  4. No exposed body piercing jewelry.
  5. Jewelry, in general, should be kept to a minimum (less is more).
  6. Company Issued Uniforms.
  7. The shirt should be kept neatly tucked in at all times.
  8. Socks should match the color of pants, shoes or shirt.
  9. The belt should match the color of shoes or boots.
  10. Perfume, after-shave, cologne or fragrances if used should be used conservatively.
  11. A breath-freshening mint (no gum) should be taken prior to meeting the prospect.
  12. Refrain from smoking. Never smoke or “chew” on or around a customer’s property or neighborhood.
  13. Look at your appearance in a mirror and make sure that your appearance reflects the professional company you represent prior to meeting the prospect.
